Northrop Grumman Administrative Assistant to VP Program Management in Redondo Beach, California

Northrop Grumman Aeronautics Systems has an opening, to join our team of qualified, diverse individuals, as an Administrative Assistant to a VP. This position will be located in Redondo Beach, CA.

The successful candidate will be highly motivated, collaborative, detail orientated, assertive as necessary, and friendly in the performance of the Administrative Assistant role. The individual will be adept in the use of the Microsoft Office Suite and other software productivity tools. The individual will report to the Advanced Programs, Autonomous Systems (AP-AtS) Vice President.


Responsibilities include, but are not limited to the following:

  • Maintains calendars for the VP.

  • Provide general administrative support to the VP.

  • Makes domestic and international travel arrangements and prepares expense reports.

  • Serves as a focal point for the organization and communicates with internal and external customers and executives, professionally representing the corporation and organization.

  • Performs office functions such arranging meetings/conferences, preparing material and setting up for meetings; answering phone calls and making proper referrals; receiving, referring, or answering mail.

  • Assists in maintaining the organization's collaboration electronic sites, and department and programmatic folders.

  • Follows up on open actions to ensure deadlines are met, and gathers, compiles, and reports

  • Assists in event planning and activities of major organization initiatives and reviews.

  • Operates independently to meet requirements of AP-AtS leadership team and offers expertise to assist other functions within the organization.

  • Provides operational support for special projects; researches and obtains information, helps plan and ensure follow through of assigned tasks.


Basic Qualifications:

  • High School diploma or GED.

  • Minimum of 6 years of administrative experience supporting executive leadership.

  • Must have experience with travel planning and expense reporting systems.

  • The ability to obtain and maintain a Department of Defense (DoD) Secret Clearance.

  • Proficiency with MS Office Suite especially high level MS Word for formatting documents using standard templates, as well as Excel, PowerPoint, and Outlook.

  • Excellent communication and interpersonal skills.

  • Ability to work with minimal supervision while exercising good judgment, demonstrating flexibility and agility, prioritizing multiple tasks with competing deadlines, managing schedule conflicts and providing excellent follow through.

  • Prior experience coordinating both on and offsite meetings and/or events with participation by executives and customers.

Preferred Qualifications:

  • Associate's Degree or higher.

  • 10 years of administrative experience supporting executive leadership. Knowledge of Concur & iTrip, the travel planning/expense reporting and international travel tools.

  • Knowledge of SAP and use of iBuy for purchasing office supplies.

  • Active Department of Defense (DoD) Secret Clearance.

  • Willingness to work non-standard hours and weekends when necessary.

  • Willingness to travel within NGC sites occasionally.

  • Knowledge of Company Travel Policy (CTM F800).
