Northrop Grumman Space Systems is seeking an Administrative Assistant 4 to join our team of qualified, diverse individuals located in Manhattan Beach, CA.
Essential functions consist of:
Communicating with executive, administrative, customer and management personnel to gather or convey relevant information
Coordinating internal and external briefings/presentations, management meetings and customer interface and customer visits
Responsible for maintaining Director's schedule and coordinating critical customer and management meetings
Coordinating calendars, extensive, frequently changing travel arrangements, expense reports and all forms of correspondence
Providing support to Director's team, including scheduling internal and external meetings, lunch for meetings
Responsible for new team-member onboarding administration (adding team members to shared database accesses and coordinating attendance in program onboarding/training session)
Event planning of team-building / moral events for a team of 400+ people
Office seating move request coordination with facilities
Executing daily file transfers to the program computer system
The successful candidate will be a vital member of the Program team and perform in an administrative leadership role, which by nature of the position involves high-level contacts and exposure to sensitive program, new business, personnel and technical information necessitating considerable use of tact, diplomacy, discretion, and judgment.
High School diploma or GED with 6 years of experience in an administrative assistant role including supporting managers, directors or executive leadership
Demonstrated proficiency and comfort in utilizing Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint)
Demonstrated proficiency in business and travel expense system (Concur, Edge, or similar) with complex, frequently changing travel
Successful experience working collaboratively as a team player with the ability to interface effectively at all levels in the organization
Demonstrated ability to be collaborative, proactive, self-motivated, well-organized, detail oriented, and assertive as necessary and able to execute projects and tasks independently
Active (in-scope) DoD Secret OR Top Secret, with SCI access and SSBI in the last 4 years
Ability to work with minimal supervision
Ability to exercise sound judgment while demonstrating flexibility and agility, prioritizing multiple tasks with competing deadlines, managing schedule conflicts, and providing excellent follow-through
Demonstrated verbal, interpersonal and written communication skills
Ability to protect and maintain confidentiality
