Northrop Grumman Technology Services is looking for an Executive Assistant to support the Human Resources vice president and lead coordination for the HR organization effectiveness team. The role’s primary responsibilities are to provide executive support to the Sector HR vice president and perform advanced administrative duties with exposure to sensitive information necessitating tact, diplomacy, discretion and judgment. The executive assistant will proactively communicate and collaborate regularly with internal customers, executives, administrative peers, and HR teams to ensure a streamlined approach to executing daily tasks and long-term HR operations. This position will be based in Herndon, VA.

The position requires an individual with excellent verbal / written communications. He/she should have high organizational skills with a proven track record of performing multiple complex duties with a high-level of attention to detail. The individual must have experience working with all management levels and have a proactive approach to prioritizing work in order to meet on-going deadlines for multiple customers. He/she must be self-motivated and have the ability to collaborate well in a team environment.

High proficiency and interest with technology and technical systems and applications, to include MS Office Suite, Internet/Intranet, Concur, I-Buy, and others as required.

Executive Support for HR Vice President

  • Daily functions include making and coordinating travel arrangements; pro-actively managing the VP’s calendar to ensure alignment of priorities; scheduling of all meetings; coordination and logistical support for HR related activities and events

  • Additional responsibilities include generating presentations utilizing MS office products (specifically ppt.); organizing and maintaining files; filing expense reports in a timely manner; and developing and maintaining organization charts

  • Serve as a focal point for communication and distribution of information amongst the HR senior leadership team

  • Other executive administrative duties as assigned

Organization Effectiveness Coordination

  • Coordination of OE and HR related events to include scheduling, printing materials, purchasing materials, shipping materials, catering planning, IT coordination, expense reports, and other event logistics

  • Setting up and logistical coordination of OE monthly manager webcasts to include collaborating with IT support, setting up virtual collaboration tools, and reserving appropriate facilities

  • Setting up, scheduling and logistical support for large-scale OE consulting interventions both locally and remotely

  • Other OE coordinator duties as assigned

Basic Qualifications:

  • High School diploma and a minimum of 6 years additional education and/or experience in the administrative professional field or as an executive assistant

  • Minimum4 + years Executive Assistant experience

  • Advanced computer skills required include advanced expertise in Microsoft Office software (Word, PowerPoint, Outlook, and Excel), and Intranet/Internet proficiency

  • Must have the demonstrated ability to compile and generate reports, statistics, tables, graphs, and presentations

  • Must be able to complete a wide variety of tasks with minimal supervision

  • Experience efficiently coordinating calendar and other routine items

  • Experience with Concur (or similar) travel and expense reporting system

  • Proven ability to maintain confidentiality

  • Prior experience coordinating both on- and off-site meetings and/or events

  • Experience proofreading and correcting documents for grammatical errors

  • Proactive, highly motivated and adaptable, with excellent organizational skills including the ability to juggle multiple tasks, changing needs, and competing priorities

  • Strong oral and written communication skills and a team player

  • Must have experience in supporting a variety of executive levels, management level and administrative support within an organization

  • Must be able to interface with executive level internal and external contacts with considerable autonomy

  • US Citizenship required
